Job purpose:
As part of the festival production team, you will be supporting the creation and production of the 2024 Bristol Jazz Festival, one of the leading cultural events in the South West.
Recognised for its contribution to community cohesion and the promotion of local talent as well as giving local music lovers access to national and international music performers.
Commitment:
- Approximately one or two days per week.
- At critical times, especially leading up to and around festival dates you will be expected to work additional and extended days.
NB This is a volunteer role. No payment is due for the core commitment, but additional hours and work days will be paid.
Job Summary:
As the Production Assistant for the Bristol Jazz Festival, you will play a crucial role in supporting the Festival Producer and Artistic Director in organising and executing the festival. You will be responsible for assisting with various production tasks, ensuring smooth operations, and contributing to the overall success of the festival.
Responsibilities may include:
- Assist the Festival Producer and Artistic Director in planning, organising, and coordinating the festival's production activities
- Collaborate with the Festival Producer and Artistic Director to create and maintain a detailed production schedule, including deadlines and milestones
- Coordinate logistical aspects, equipment rentals, and transportation arrangements for artists and staff
- Help manage communication with artists, vendors, and venues regarding scheduling, technical requirements, and any other production-related needs
- Coordinate artist hospitality, including accommodation, transportation, and meals.
- Assist in the coordination of volunteer recruitment and management, ensuring appropriate coverage for various festival activities
- Support the marketing and promotion efforts of the festival by assisting with social media management, content creation, and distribution of promotional materials
- Provide general administrative support, such as maintaining records, organising files, and responding to inquiries
Skills and competencies
- Excellent organisational and time management skills, with the ability to multitask and prioritise responsibilities effectively
- Strong communication and interpersonal skills, with the ability to work collaboratively and build positive relationships with artists, volunteers, and staff
- Good attention to detail with a keen eye for accuracy and the ability to follow instructions
- Basic computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with social media platforms
Style and personality
- An interest in the performing arts and cultural events
- Ability to adapt to changing situations and work well under pressure in a fast-paced environment
Desirable
- Previous experience in event production, arts administration, or volunteer work is desirable but not mandatory
- Familiarity with Bristol’s music and cultural environment
